How to issue and use spend cards

Spend cards provide instant, real-time access to your Wallet funds, removing the need for external bank transfers or additional apps.

About spend cards 💳

Spend Cards are Visa commercial cards linked directly to your Givebutter Wallet balance. Because they draw from your available Wallet funds, you can only spend up to the amount currently available – no overdrafts or borrowing. Once activated, your card can be used anywhere Visa is accepted There are two types of Spend Cards available to Givebutter users:

  • Virtual cards – Available instantly after creation and accessible directly from your Givebutter dashboard under Finance > Wallet. Ideal for online purchases or situations where a physical card isn’t required.

  • Physical cards – A physical card mailed to the designated cardholder. It typically arrives within 7–10 business days and can be used anywhere Visa is accepted.

Physical cards require activation before they can be used.

Issuing cards 🧑‍💻

To issue a new spend card, go to the Finance page in your dashboard, navigate to the Wallet tab, and you'll see a Cards section on the left side of the page, below your Wallet account information. Click Add card.

Only users with the Admin or Finance role in Givebutter (those who have access to the Finance page) can issue spend cards. Currently, these users can only create cards for themselves, not for others.

You will be prompted to confirm or enter your cardholder information and select a card type. Most fields will be pre-filled with details from your Givebutter profile, including your legal name, name on the card, billing address, email address, and phone number.

The billing address must match the account address and cannot be edited within the card issuing process. If changes are needed, please update your account address under account settings, and update your email and phone number through your profile settings. You will be asked to enter your date of birth manually and agree to the cardholder Terms of Service before proceeding.

Choosing a card type 📬

After reviewing your details, you will choose whether to create a virtual or physical card. Virtual cards are activated immediately and can be used right away. Physical cards are created as inactive and require you to enter a shipping address. Once submitted, the physical card will be mailed to the address provided and will arrive within 7-10 business days.

Currently, Givebutter allows one physical card per user.

Managing cards 🔐

All essential card actions, including issuing, activating, freezing, replacing, and canceling cards, can be completed entirely within the Givebutter dashboard. To view a full list of issued cards (including current statuses, creation dates, and more) and perform actions, click the three dots [...] next to the relevant card under the Active Cards heading.

Clicking on a card will open the card details on the right side of the page. You may be asked to verify with two-factor authentication before viewing card details.

Freezing a card ❄️

If you need to stop using your card temporarily, you can freeze it. When a card is frozen, new purchase attempts will be automatically declined. Please note that transactions authorized before a card is frozen will still go through. However, subsequent transactions for recurring payments will not be processed.

  • To freeze a card, open the card details from the Cards section. On the right side of the card details, click the Actions button, and click Freeze.

  • To reactivate the card, return to the same screen and click Unfreeze.

Replacing a card 🔁

If a card is lost, stolen, or damaged, open the card details from the Cards section. On the right side of the card details, click the Actions button, and click Order replacement. When replacing a card due to damage, the new card will have the same number but a new CVV and expiration date. If the card is lost or stolen, an entirely new card number, CVV, and expiration date will be issued.

Only physical cards can be manually replaced. If a virtual card is compromised, it should be canceled, and a new card can be created.

Canceling a card ❌

To permanently stop a card from being used, open the card details from the Cards section. On the right side of the card details, click the Actions button, and click Cancel card.

Once a card is canceled, it cannot be reactivated, and all future purchase attempts will be automatically declined.

Card policies and limits 🧾

Spend cards offer the option to enable built-in controls, helping organizations manage their spending effectively. By default, each card has a daily spending limit of $500. Admins can edit card policy settings (including per-transaction spend) by opening the card details from the Cards section and clicking the edit icon under the Card Policies section.

You can choose from several time intervals for purchase limit reset timeframes (daily, weekly, monthly, yearly, or all-time) and set a custom amount for each. Each card has a $10,000 maximum per transaction, which cannot be changed.

The cardholder can set or update their PIN for ATM access. ATM withdrawals are limited to $300 per day. For example, a card with a $50 daily limit or only $20 remaining for the day would be limited to that amount when withdrawing from an ATM.

Card activity 📈

Because spend cards draw from your available Wallet balance, all card activity will be logged and displayed in your Recent activity table on the Wallet tab. This includes:

  • Date – date of the transaction

  • To/From – includes merchant and place of purchase

  • Amount – amount of the transaction

  • Method –  cardholder name and last four digits of the card used

To see more information about a spend card transaction, click on an individual transaction in the Recent activity table. This information will include the location where the purchase was made, the transaction status, and a transaction receipt.

FAQ 🤔

Are physical and virtual cards connected?

No. Each spend card is a completely separate and individual card with its own unique card number. Physical card details, such as the card number and CVV, are not visible in the dashboard and can only be accessed from the card itself.

What happens when a card expires?

Expired cards are automatically replaced with new expiration dates and CVVs. The card number remains the same.

If I replace my card, do I need to activate the new one?

Yes, if you order a replacement physical card, you'll need to activate it before you can use it. Activating the new card will deactivate and cancel the card you're replacing.
