How to manage your event tickets

Pull up your QR code, update attendee details, and assign tickets to others.

From your donor portal, you can view and save your event tickets, update attendee details, and assign tickets to guests, all without needing to contact the organization.

You'll find every event you have tickets for in one place, whether you bought the tickets yourself or someone assigned one to you. Past events stay in your portal too, so you can go back to your tickets and receipts, but you can't make changes to them.

Finding your tickets 🔍

Your next upcoming event is featured in a banner at the top of your portal home page, with the event name, date and location. Select View tickets on the banner to pull up your QR codes right away, or select Manage tickets to go straight to that event.

To see all your events, select Events & tickets from the portal home page. If you only have tickets for one event, you'll go straight to that event's details. If you have more than one, you'll see a list with the soonest event at the top and past events in their own section at the bottom.

View and save tickets 💾

Each ticket has a unique QR code for check-in, along with the ticket type, attendee name and ticket number. The quickest way to pull up your QR codes is from the banner on your portal home page, so you can keep them handy on the day of the event.

  • To view QR codes, select View tickets on the banner on your portal home page, or on any event in your Events & tickets list.

  • To download tickets in PDF format, select Manage tickets on the event, then select Download PDF under the ticket you'd like to save.

Add to Apple Wallet 🍎

  • Tap the Add to Apple Wallet badge displayed in your ticket email, or in the portal from your mobile browser.

  • A preview of the pass will pop up on your screen, which will get brighter. Tap Add in the top-right corner.

  • The pass will save directly to your Apple Wallet, ready to access anytime, even when you're offline.

Edit attendee details ✏️

You can update the attendee's first/last name and phone number on each of your tickets. Changing the name keeps the ticket and receipt with you, which is useful when you're buying for a child or a guest who doesn't need their own ticket emails. The attendee email can't be changed. If someone else should have the ticket and its emails, assign it to them instead.

  • Select Manage tickets on the event, then select the ticket.

  • Select Edit attendee and update the first and last name or phone number.

  • Save your changes.

Once a ticket has been checked in or assigned a seat, its attendee details are locked. Contact the organization if something needs to change.

Reassign a ticket 🔄

If someone else will use your ticket and should manage it themselves, you can assign it to them. If you bought several tickets, like a table, you can assign each one to a different guest.

  • Select Manage tickets on the event, then select the relevant ticket.

  • Select Assign ticket.

  • Enter the person's first and last name, email and phone number (optional).

  • Click Assign ticket, and in the confirmation window, click Assign ticket again.

  • The new assignee will get an email confirming the ticket is theirs. The assignment happens right away, and they don't need to accept it.

After you assign a ticket, you'll still see it in your portal with the new assignee's name, but only the new ticket holder can edit its attendee details. You can reassign it or take it back at any time. Required event questions carry over to the new ticket holder, and they'll be asked to answer any optional ones. If the ticket is a registration for a fundraiser, the fundraising page moves with the ticket.

Assigning a ticket to someone new automatically creates a new contact in the organization's Givebutter account.

Receiving a ticket 🤚

If someone assigned you a ticket, you'll be sent an email with the details. Click View ticket in the email to be directed to your portal. Log in with the email address the confirmation email was sent to.

Once you're logged in, you'll see a screen to Review your ticket. You'll only see the tickets assigned to you, not the rest of their order or their receipt.

Take a look at the event details, make any necessary edits to your first/last name and phone number, and click Save ticket at the bottom when you're done. If you cannot attend or do not want to accept this ticket, you can click Release ticket to revert it back to the prior assignee.

After a ticket is saved, it appears in your own portal under Events & tickets. You can view the QR code, update your attendee details, or release the ticket back to the person who assigned it if you can't attend.

Only assignees can release tickets back to their original owner. The option to release a ticket won't appear if you were the one to purchase a ticket.

FAQ 🤔

Can I cancel my ticket or get a refund?

Not from your portal. Only the organization can cancel tickets or issue refunds, so contact them directly. Their contact details may be located on your portal home page and your ticket receipt. If you're having trouble contacting the organization, our support team may be able to help.

Why can't I edit my ticket?

Attendee details lock once a ticket has been checked in or assigned a seat, and past events can't be changed. If you've assigned the ticket to someone else, only they can edit its details.

What if the person I assigned a ticket to never opens their email?

The ticket is still theirs. Assignments happen right away and don't need to be accepted. They can also find the ticket by signing in to the organization's portal with the email address you entered.

I assigned a ticket to the wrong person. Can I fix it?

Yes! Open the ticket and assign it again to the right person. You can reassign a ticket at any time, even if you've reassigned it to someone else – it'll stay in your portal either way.

I'm an admin. Can I still manage tickets from my dashboard?

Yes. Everything in your dashboard works the same as before, including reassigning, resending and revoking tickets. Revoking is only available to admins. Ticket holders can't do it from their portal.
