About mobile check processing š±
Mobile check processing allows your organization to process physical check donations directly from the Givebutter mobile app. Mobile check processing works in tandem with Givebutter Wallet. When you process a check, funds are held in your Wallet where they earn rewards over time. You can process checks on the spot at an event, or log the transaction and upload the check images at a later date.
How it works š
Only Admin and Finance roles have permission to process checks with the app. Mobile check processing supports two workflows: you can complete everything at once, or split the steps across time.
Log and process together: Start a transaction in the app, photograph the front and back of the check, and slide to process. The transaction is logged and the check is submitted in a single flow. Funds are routed to your Givebutter Wallet (typically available within 5-7 business days).
Log now, process later: Log the transaction in the app and skip the check processing step. When you're ready, whether later that day or after an event, return to the transaction in the app to capture the check images and submit.
In both cases, the transaction appears on your Transactions page right away. The status updates automatically as the check moves through the processing flow.
Check requirements ā
To be accepted for mobile processing, your check must meet the following requirements:
The check date must be within the last 180 days
The front of the check must be signed
The back of the check must be signed and endorsed by writing "For mobile deposit only" under the signature. (Just checking the box is not enough!)
The check must not be a duplicate of a previously submitted check
Processing a check š”
You can process checks as part of the transaction creation process. Alternatively, you can log the transaction and process the check at a later date.
In the Givebutter mobile app, ensure that the relevant campaign is selected at the top of the screen, and click the blue + button at the bottom of your screen.
Enter the donation amount, and click Continue.
Check deposits are only supported for one-time payments. Recurring plans are not supported.
Next, you'll add or select a contact for the donation. If this contact has donated previously or purchased a ticket, you can search for them by phone, email, or name at the top of the page. Alternatively, click the + button in the upper-right corner to create a new contact.
Select Check as the payment type and click Continue.
On the Process Check screen, click Front of check to capture a photo of the front of your check. The front of the check must be signed by the donor.
Check processing will default to your Givebutter Wallet account. If you have more than one Wallet account, you can click this box to select a different account to route funds to. You cannot route funds to a bank account directly.
Take a photo of the front of the check. Position the check in the center of the frame and the app will auto-capture the image for you. You can also click the shutter button to manually capture the image. You can retake the photo or approve it to continue.
You'll then be prompted to capture the back of the check. The back must be signed and endorsed for mobile processing. (This is often indicated with a checkbox.)
Next, you'll review the check information, including the amount, donor, and Wallet account. At the bottom of this screen, tap and slide the Slide to process payment button. A confirmation screen will appear, including the transfer initiation date.
Don't throw the check away! Wait until it has cleared and funds are visible in Wallet. Write the date on the front of the check and store in a safe place.
Process at a later date š
To log a transaction without processing the check right away, click Skip this step on the check processing screen.
When you're ready to process the check, locate the transaction in your mobile app and click Process check to capture images of the front and back.
If you have already processed this check outside of Givebutter (for example, through your bank), you can click Mark as deposited to remove the "Awaiting deposit" status from the transaction. You do not need to do this if you submitted the check through Givebutter ā the status will update automatically.
Managing checks š„ļø
Once submitted, you can track a check's status from your Givebutter dashboard. Transactions appear in your Transactions tab as soon as they are logged, even before the check has been processed. The status will update automatically as the check moves through the processing flow. Check transactions appear alongside all other donation types, and include details on who submitted the check and from which device. From your Wallet, you can view the associated transaction and check images.
Best practices š”
Wait until the deposited funds appear in your Givebutter account before doing anything with the physical check. This typically takes 5-7 business days.
Store the check in a safe place for at least 5 days after deposit, in case it's needed to resolve any issues.
Destroy or shred the check only after confirming the funds have posted to your Wallet balance.

Can I process checks collected at an event?
Yes, mobile check processing supports event-based collection, post-event batch processing, and mail-in donations.
What user roles have permission to submit checks?
Only users with Admin and Finance role permissions have the ability to process checks using the Givebutter app.
How long does it take for funds to clear?
Typically, processed checks are available in Wallet within 5-7 business days.
Can I log the check in Givebutter now and process it later?
Yes! You can record the transaction immediately and upload the check images at a later time.
Is there a limit on how much I can process per check? Are there other limitations?
Yes, each individual check can be up to $10,000. Your total daily check processing can't exceed $20,000, and you can process up to 20 checks per day.
