Givebutter's task management tool helps you efficiently manage your fundraising efforts and improve donor stewardship by centralizing task creation, assignment, and tracking. Within tasks, you can directly link contacts, tickets, transactions, and campaigns to create specific action items. You can also delegate tasks to other team members, set deadlines, and receive reminders. Some use cases include:
Donor relations: Sending thank-you letters and scheduling follow-up calls
Governance: Preparing for board meetings
Administrative tasks: Data entry, event planning, and campaign planning
Tasks are accessible and visible to all admins on an account. They are not private to individual admins or user logins.
Creating tasks ✏️
To create a task, click on Tasks in the upper right corner of your dashboard, or select it in the left-hand navigation.
Click the pencil icon in the Tasks menu. You can also click Add task at the bottom of any task category.
In the popup, add a title (required) to summarize your new task.
Add an optional description if you want to include more detail. In the description, you can tag resources across your Givebutter account, such as specific contacts, tickets, transactions, and campaigns. To do this, type "@" followed by the name of the desired resource. Click on the resource to insert the tag.
Optionally set an assignee and a deadline. The list of assignees will include all admins and editors on your account.
Title, description, assignee, due date, and category can be edited at any time.
Click Create task when you're done.
Task reminders 🔔
Each assignee will receive an email notification when assigned a new task. You can also configure specific reminders for tasks by clicking the clock icon on the right side.
Notifications must be configured prior to the set due date. Additionally, all admins will receive a weekly summary email of all tasks assigned to them.
Filtering and sorting tasks 🔍
Tasks are organized into three categories: To do, In progress, and Complete. By default, this list will include all tasks. You can filter tasks to customize this view, whether you want to see tasks due in the next month, tasks assigned to a few colleagues, or tasks created by a specific person.
Click on an option at the top of the page to add a filter:
Assignee – Filter by a single assignee, multiple assignees, or no assignee
Starred – Filter by starred tasks
Due – Filter by task due date
Overdue
Today
Tomorrow
This week
Next week
This month
Next month
No due date
Creator – Filter by a single task creator or multiple task creators
Archived – View only archived tasks
You can also click Sort to arrange tasks by the date they were created (newest to oldest) or by due date. Click the search icon in the upper right corner to search for specific tasks.
Changing categories 🔄
New tasks are marked as To do by default. To change the category that a task belongs to, click the category heading and select a different option.
You can also drag tasks between category headings to quickly reorganize without clicking into individual items.
Marking tasks as complete ✅
To mark a task as complete, click the checkbox on the left side of the task title. You can also click Mark complete from within the individual task editor.
Tasks can also be unmarked as complete at any time. If a task has been unmarked as complete, it will be moved to the To do category, and the original deadline will be shown.
FAQ 🤔
Can I set personal/private tasks?
Tasks are visible to all admins on an account and are not private to your specific user login. If you want to create personal tasks or to-do items, you can set yourself as the assignee, but keep in mind that all admins on your Givebutter account have access.
Can the "To do," "In progress," and "Complete" headings for Tasks be edited?
At this time, the headings and emojis are not customizable.
Is it possible to assign a task to more than one person?
Right now, it is only possible to set one assignee to a task.
Can tasks be created via the API?
Tasks cannot be created directly via the API, but a workflow trigger that can be powered by an API can be configured to create tasks.
How do I view my own tasks?
By default, your list of tasks will show all items across your organization. To view your own tasks, add a filter for yourself as the Assignee.
