This CSV file is an excellent way for you to analyze your transactional data. You can download this data, then open it into a third-party software like Excel or Google Spreadsheets, and create tables and graphs out of it.

How to export Transaction details to CSV

You can easily export the details of your transactions to a CSV file with the following steps:

  • Log in to your Givebutter Dashboard: https://dashboard.givebutter.com/

  • Navigate to the Track tab in the left side panel the click into the Transactions subtab.

  • If you’d like to add Filters to the data, do so now.

  • Click the Export button.

  • Choose either All Transactions (most common) or All Transactions with Item Breakdown (a breakdown of donations, items, tickets, and fees).

  • Choose whether you want to group your transactions by campaign (details on that below).

  • Click Export.

  • Navigate to your email, and in a few moments, you will receive a message from Givebutter saying that your export is ready to download. In the email, click the Download button or copy and paste the provided link into your browser.

Note: You must be logged in to Givebutter to view/download your CSV for security purposes. If you’re having any trouble opening your link, be sure to double-check that you are logged in, as your email client may have redirected you to a different device/browser than the one you exported the CSV from.

The CSV file will then download to your device. Check your Downloads folder to open in a file reader like Excel, Numbers, or Google Sheets.

File Formats and Custom Fields

The structure of your exported document is dependent on the options you selected when exporting your file.

Ungrouped

Custom fields are found at the end of the list of columns unless items are included. In which case, item columns will follow after custom fields.

The custom fields for all of the campaigns will appear as columns, but only some of those may apply to any given transaction.

When a custom field is relevant to a transaction, the field will either be empty (if the donor did not fill it out) or filled. When a custom field is not a member of a transaction's campaign, the cell will be represented with a dash (-).

In the image below, you can see the blue cells highlight custom fields that apply to the corresponding record, while the red cells with dashes are not part of that campaign. (Highlighting is for demonstration purposes only.)

Grouped

When you select the group by campaign option, you can expect a different layout for your document.

  • Each campaign group follows the same format: a row with the title of the campaign, a row of headers, and the transactions belonging to that campaign (1 per row).

  • The headers row has custom fields at the end, similar to ungrouped exports. The difference is that only custom fields belonging to that campaign are in the header.

  • When item breakdowns are included, they are appended after the custom field columns (same as ungrouped).

In the image below you can see the custom field column outlined in a blue box. You'll notice that a campaign with no custom fields has a blank column. The blue highlighted rows are the headers for each group. (Highlighting is for demonstration purposes only.)

What does the All Transaction export file contain?

The All Transaction CSV file contains the following information:

  • Campaign

  • Campaign Slug

  • Team

  • Member – Team Member

  • Reference # – Transaction ID

  • First Name

  • Last Name

  • Address Line 2

  • Amount – the amount the donor chose to donate

  • Fee – full transaction fee for donation

  • Fee Covered – fee amount that was covered by the donor (zero means they chose to not cover the fee)

  • Donated – amount donated after all fees = Charged - Fee

  • Payout – final amount to be paid out for this transaction (zero means offline donation)

  • Currency

  • Recurring Plan ID

  • Frequency

  • Dispute Status – won, open, lost, closed

  • Captured At – date & time payment is captured

  • Refunded At

  • Anonymous Hide Name – TRUE or FALSE (TRUE = donor requested their name stay hidden from public view)

  • Public Message - The message the supporter entered to show on the Supporter Feed.
