How to export / download transaction details

Export your transaction data with custom filters right from your dashboard into a neatly organized CSV.

This CSV file is an excellent way to analyze your transactional data. You can download all data (or a custom selection of data) and open it in third-party software like Excel or Google Sheets. You can export transaction data for all transactions or transactions from a specific user.

Applying filters βž•

  • On your dashboard, head to your Transactions page, located in the left-hand sidebar.

  • At the top of the page, there will be pre-selected filters that you can use.

  • To add additional filters (if you want to sort transactions by multiple criteria at once), click More filters. You can add as many simultaneous filters as you like.

Want to export transactions for a specific contact? You can do this directly from the contact's page. Click the Actions menu in the upper right corner and select Export transactions.

  • Click the Export button and choose an option:

    • All Transactions (most common)

    • All Transactions with Item Breakdown (a breakdown of donations, items, tickets, and fees)

  • Choose whether you want to group your transactions by campaign. If you choose this option, separate CSV files will be generated for each campaign.

  • Choose which data columns you'd like to export:

  • Click Export.

  • Navigate to your email, and in a few moments, you will receive a message from Givebutter saying that your export is ready to download. In the email, click the Download button (good for 72 hours) or copy and paste the provided link into your browser.

The CSV file (or a ZIP file for multiple files) will then download to your device. Check your Downloads folder to open in a file reader like Excel, Numbers, or Google Sheets.

The structure of your exported document depends on the options you selected when exporting your file.

Ungrouped

Custom fields are found at the end of the list of columns unless items are included. In this case, item columns will follow after custom fields.

The custom fields for all campaigns will appear as columns, but only some of those may apply to any given transaction.

When a custom field is relevant to a transaction, it will either be empty (if the donor did not fill it out) or filled. When a custom field is not a member of a transaction's campaign, the cell will be represented with a dash (-).

In the image below, the blue cells highlight custom fields that apply to the corresponding record, while the red cells with dashes are not part of that campaign. (Highlighting is for demonstration purposes only.)

Grouped

When you select the group by campaign option, you can expect a different layout for your document.

  • Each campaign group follows the same format: a row with the campaign's title, a row of headers, and the transactions belonging to that campaign (1 per row).

  • The headers row has custom fields at the end, similar to ungrouped exports. The difference is that only custom fields belonging to that campaign are in the header.

  • When item breakdowns are included, they are appended after the custom field columns (same as ungrouped).

The image below shows the custom field column outlined in a blue box. You'll notice that a campaign with no custom fields has a blank column. The blue highlighted rows are the headers for each group. (Highlighting is for demonstration purposes only.)

  • Amount – the amount the donor chose to donate

  • Fee – full transaction fee for donation

  • Fee Covered – fee amount that was covered by the donor (zero means they chose not to cover the fee)

  • Donated – amount donated after fees have been applied

  • Payout – final amount to be paid out for this transaction ($0 means offline donation)

  • Currency

  • Recurring Plan ID

  • Frequency

  • Check number

  • Check deposited (UTC)

  • Dispute Status – won, open, lost, closed

  • Payment captured (UTC) – date and time payment is captured in UTC (this will be blank for offline transactions since no processing takes place)

  • Refund date (UTC)

  • Transaction date UTC – date and time the transaction is submitted in UTC

  • Acknowledged

  • Anonymous Hide Name – TRUE or FALSE (TRUE = donor requested their name stay hidden from public view)

  • Anonymous Hide Amount – TRUE or FALSE (TRUE = donor requested their donation amount stay hidden from public view)

  • Public Name - the name the supporter entered to show on the supporter feed.

  • Public Message - the message the supporter entered to show on the supporter feed.

  • Donor local timezone – timezone of the specific transaction

  • Captured at (donor's local timezone)

  • UTM Source

  • UTM Medium

  • UTM Campaign

  • UTM Term

  • UTM Content

  • Referer URL

  • Widget ID

  • Match information (if applicable)

    • Match name

Exporting transactions for a specific contact πŸ‘€

If you want to export transactions for just one specific contact, you can do so directly from their contact profile.

  • Click the Actions menu in the upper right corner of the contact profile.

  • Click Export transactions.

  • Select the data you want to export from the dropdown menu. This list will include an option for All transactions, plus any year that a donation was made by this contact.

  • Navigate to your email, and in a few moments, you will receive a message from Givebutter saying that your export is ready to download. In the email, click the Download button or copy and paste the provided link into your browser.

Troubleshooting πŸ› 

If you're generating reports but aren't receiving our emails, please do the following troubleshooting steps before contacting us:

  • Ensure you've checked your email spam/junk box. Because these emails are sent from no-reply address, email providers may categorize them as junk mail.

  • Sometimes, these messages are filtered into folders previously set up in email accounts, or they're deleted automatically. Check any relevant folders.

  • Search your inbox for "[email protected]".

  • Check your email settings to be sure the address [email protected] is whitelisted, a firewall isn't blocking us, or there isn't some server issue.
