When you connect with a supporter outside of Givebutter, you can log the event, add a note to their contact profile, or import contact events in bulk. This is useful if you've had a phone call, sent emails, or just want to add some information about a specific contact.
Additionally, whenever a contact interacts with your Givebutter account, that information will automatically be added to their timeline. This includes Engage emails and SMS, BCC'd or forwarded emails, recurring donations, imports, and ticket purchases!
Manually adding activities ➕
In your Givebutter dashboard, go to the Contacts page.
Find the contact you want to log an event for by using the search bar.
Click on the contact.
Click the blue plus button on the right-hand side of the page.
Select the type of event you'd like to add to this contact's timeline. The choices are Note, Email, and Phone Call.
Fill in the details, including the date, subject line, and notes of the correspondence.
Click Add Event when you're done, and it'll be added to this contact's file.
Importing contact activities ⬆️
Our import tool helps you add contact events to Givebutter. Upload a comma-separated value file (CSV), copy and paste contacts from a spreadsheet like Microsoft Excel or Google Sheets, or type info directly into the import table.
Preparing data for import 🧮
To upload your contact events successfully, your data needs to be formatted properly. Data formatting can be a time-consuming step, so we recommend using the template below to help you prepare that data.
Your file must contain the following columns:
Contact ID – The Givebutter Contact ID of the contact you want the activity associated with. This is found in your contact export.
Activity Type – The type of activity associated with the contact. Choose from:
Completed task
Email
Meeting
Note
Phone call
SMS
Volunteer activity
Date Occurred – Must be a valid date format. Examples:
01/01/2023
2023-01-01
2023-01-01 12:00:00-05:00
2023-01-01 12:00:00 EST
Optional fields:
Subject – Not required for Note events.
Note – The details of the activity.
Timezone – Timezone will default to the one in your Account Settings if you do not otherwise specify.
Once you have completed formatting your data, save the file to your computer or download it as a CSV.
Uploading your data ⬆️
Select Settings from the left sidebar in your Givebutter dashboard, then select Imports.
Click New Import, then select Contact activities from the dropdown.
The importer will appear. To upload data from a spreadsheet file, click Upload file.
You can also optionally manually enter data, though importing via file upload is much faster.
Select the correct file from your computer. Supported file types include .csv, .tsv, .xls, .xlsx, .xml, and .txtfile. After selecting your file, data will automatically be extracted.
Click Import to import your data.
Confirm mapping for your data. If Givebutter assigned your Incoming Field data to a Destination Field that isn't a match, click the dropdown arrow to assign your column to a different Givebutter field/attribute.
When you're done matching the data fields, click Continue in the upper right corner, and click Submit to import your transactions. The importer will begin processing.
You'll be notified by email when your import is complete.
Incomplete import files will be saved as Drafts in your dashboard.
Viewing imports 👀
In your dashboard, go to Settings, then click Imports. You'll see a list of your import history.
Failed import rows will be displayed here. You can download just the failed records by clicking the red icon next to the relevant import.
To download the import file, click the three dots [...] on the left side, and click Download File.
Click on any import to view details, including the type of import, number of rows, number of failed rows, the date of the import, and specific line items for each failed row.
Deleting imports ❌
If you make a mistake, you can delete entire imports from your account. This will remove all data from this import – proceed with caution. We cannot restore deleted import data.
In your Givebutter dashboard, navigate to Settings, and click Imports.
You'll see a list of all previous imports in the History section. Click the three dots [...] on the right side of the import you'd like to delete.
Click Delete to delete this import.
Click Delete Data to confirm the deletion.
Managing contact events 📝
Contact events can be viewed, edited, or deleted, depending on the type of event. Manually added events can be edited or removed and imports can be deleted. Events that were automatically created (ie. the contact made a donation, or an email was sent via Engage) cannot be edited or removed.
View a contact event 👀
Select the arrow icon to the right of the event to expand the event and view the details.
Edit or delete a manually added event ⚙️
Automatically-created events cannot be edited or deleted.
To edit or delete a contact event, click the three dots [...] on the left side of the event.
Click the Edit or Delete buttons to make changes or remove it. If there are no action buttons aside from a text box for adding a note, this event is not editable.
Reassign a manually added event 🔄
If an event was incorrectly added to a contact, you can move it to a different contact. Click the three dots [...] to the right side of the event and click Edit contact. Search for a different contact in the popup box, and reassign the event to a different contact.
